Two methods of setting up user notifications

how do you setup notifications? activate notifies users when a job has been assigned to them for approval this article will outline two methods of having these notifications delivered each has their advantages, select the one you feel fits your processes better it’s important to separate notification and rights in the context of this article all members of a group will have rights to approve a job in both options below, i e it will appear in their “jobs waiting for action” queue despite having received a notification or not options option 1 1 use a dl only (default) all members will get the email notification and all members will have the right to approve/decline the first one to approve/decline it will win if a second person clicks on the link job details will be shown saying the job has already been approved or declined main advantage of this one is that everyone gets the notification without having to remember to look in a specific place regularly 2 use a dl + mailbox the notification will go to the mailbox and all members will have the right to approve/decline the first one to approve/decline will still win (same as above) main advantage of this one is that not everyone gets the notifications – disadvantage is that they need to look in a separate mailbox option 2 1\ set up a dl/group (does not need to be mail enabled) 2\ create a new mailbox for the notifications to go to and give all users access to the mailbox 3\ set up a role and create a ‘members’ parameter as a group reference pointing at the group (you probably already have this) 4\ view the group reference properties and click ‘properties’ to view the group properties 5\ click on the notifications tab and change the notification to ‘other email address’ and set it to the email address of the notification mailbox click ‘apply changes’ then close, ok
